Student Organizations! Need posters printed during the summer? We can help. The Involvement Center Desk will be open this summer every Tuesday and Thursday from 12 pm to 4 pm starting June 4th until August 29th. 04-02-2013: PLEASE READ: Organization Renewals - Mandatory Meetings
The annual Organization Renewal Process will be held NEXT WEEK. The dates and times are as follows:
- April 8th @ 10:00am, 12:00pm, and 2:00pm | Cedarwood
- April 10th @ 11:00am, 1:00pm, and 3:00pm | Maplewood
Every organization needs to be represented by ONE person in the organization, preferably one of the students on the Executive Board, but if they cannot make it to one of the times, send a member. The meetings will entail the following:
- Reviewing the Code of Conduct
- Updating OrgSync Profiles
- Going over the new Advisor Form electronically
If you are sending a member that isn’t an Executive Board member, or does not know the information that needs to be updated on OrgSync, make sure you get it to them. We can make them an administrator on OrgSync and they can get it done right in the room. There will be a card reader to check everybody in, so make sure to bring your Stout One Card.
This is a MANDATORY meeting that every organization must attend. IF YOUR ORGANIZATION FAILS TO SHOW UP, YOU WILL BE DISABLED AS AN ORGANIZATION AND WILL HAVE TO GO THROUGH THE ORGANIZATIONAL AFFAIRS COMMITTEE AND SSA IN ORDER TO REAPPLY.

01-22-2013: Spring Semester Contingency Fund Request
This is the last opportunity for all organizations who have not requested contingency funds to fill out a request form on OrgSync. Please select the "Treasury" tab on the left side of your organization's home page and then click on "Budgets". Make sure the Contingency Fund budget is selected for the current school year and then select "New Budget" on the upper right side of the screen. Proceed by following all steps to successfully submit your request.
The application process is open Now until Friday, February 1, 2013.

11-30-2012: Take the hassle out of student elections with OrgSync!
It’s that time of year again, student orgs! The semester is coming to a close, and many of you are electing your new org officers! It’s a tedious and complicated process, but did you know you can make a simple, paperless form through OrgSync? It takes a few minutes to create the form and once you’re done, the form does the work for you! Just distribute the URL and let the votes roll in! Once you’re done, it takes a few seconds to export the election results.

11-28-2012: Contingency Fund Request Process
Attention All Organizations interested in requesting Contingency Funds:
The Contingency Fund Request Process opens November 28, 2012 at 3:00 PM. This is open to all organizations. The application process consists of 12 steps for all interested organizations to complete. The deadline to submit a contingency fund request is December 11, 2012 at 3:00 PM. Select the "Treasury" icon on the left-hand side of OrgSync, and then click on "Budgets" to begin the application. Make sure the 2012-2013 Contingency Fund budget is selected before creating a new budget.

11-12-2012: Week 8 OrgSync Challenge: Win $50 Worth of Office Supplies for Your Org!
We're nearing the end of the semester, student orgs! As we pace ourselves through the semester, we find our student org office supplies on the low side. 11-05-2012: Schedule of Budget Deliberations
2013-2014 Budget Deliberations for all organizations have been schedule for Thursday, November 8 from 5:00 - 10:00 pm in the Walnut Room of the MSC and Saturday, November 10, from 4:00 pm until finished, also in the Walnut Room of the MSC. Organizations are most welcome to attend the Deliberations, but are not required. In this public meeting open to the community, speaking rights are granted by the Financial Affairs Committee to public attendees only when committee members have questions. If there are any questions, please contact the Director of Financial Affairs at SSAFinancialAffairs@uwstout.edu.
This meeting will be video recorded.

10-30-2012: Quick Org Announcements: Blanket Reservations, Emails and Prizes!
Hi Orgs!
Here are a couple of quick announcements for you!
1) Spring 2012-2013 semester blanket reservations can be submitted starting Monday, November 5th at 7:00 am.
To request your blanket reservation, complete the form on OrgSync at https://orgsync.com/11321/forms/48120 . You can also stop in the MSC Reservations Office, Room 214, to make your reservation starting November 5th.
Reservations will be given on a first come first serve basis.2) Remember to check your organization's general email account frequently! If you do not know your email or need your password reset, please contact me. It's critical that you use and check this account as many important updates are sent to these email accounts regarding budgets, organization renewals and other important announcements. Announcements such as these will also always be posted in OrgSync and in Campus LIfe Today. So be sure to check both!

10-12-2012: Card Readers Available for Checkout!
Is your student org interested in using a card reader to track how many people attend your events? The Involvement Center has four card readers available for student org checkout!
Here are the requirements for checking out card readers:
• You must fill out the card reader checkout form at least one week before your event.
• Card readers must be returned by 7 pm for morning/afternoon events and by noon the following day for evening events.
For more information on how to use the card reader to track attendance through OrgSync, please refer to the Card Reader direction sheet.

10-08-2012: We Want your Video Clips!
The Involvement Center is putting together a video project to communicate the benefits of being involved to the campus community. The goal is to inspire people to get involved and show them how much fun we have. We are looking for video clips of past, present, and future events that showcase your organization. Show us how your org benefits society, improves student life, and overall kicks butt! Clips can be short 5 seconds to a few minutes if appropriate. And please feel free to shoot video on any device (iphone, point-and-shoot, DSLR, etc.).
There is a filmmaker in everyone, so bring a video capable camera along with you on your next org excursion. We will also accept photos if video is not an option or your photos are super cool/interesting.
Video clips can be submitted by checking your organization's general email for a Dropbox link or meeting up with Calvin Keyes (keyesc@my.uwstout.edu). Big thanks!

10-05-2012: Budget Questions Answered
All budget requests are to be submitted via orgsync by October 19th at Midnight. In addition to submitting a budget you will need to sign up for a hearing time and attend that time slot. The sign up sheet is on the door of the SSA office which is room 118 in the Involvement Center in the MSC. Failure to follow these instructions will result in your org not receiving funding for the 2013-2014 year.
Budget trainings will be held for those orgs who couldn't make it to the leadership summit or just need more help. They will be held Wednesday October 10th and Thursday October 11th from 5-6pm in room 150 of Jarvis Science Wing. In addition to questions on submitting budgets I will answer any other questions that you may have.
Contingency funds will be available after the budget process ends. There will be a notification at least 2 weeks prior to opening requests, the notification will include what funds are available(if any) and the process for which to apply for the funds.

09-06-2012: Attend To Spend
ATTENTION ALL ORGANIZATIONS! WELCOME BACK! If your Organization received SSA funding for 2012-13, a representative (preferably the Treasurer) needs to register and be present at one of the Attend To Spend Trainings. You must pre-register for this event PRIOR to Tuesday, 9/11/12. If more than one officer want to attend, feel free to join us.
Organizations that are not represented at one of these trainings will have a hold placed on their organization and will NOT be able to spend any of their funds.

08-09-2012: REGISTER for the Student Org Leadership Summit!
Hello Student Orgs!
Kick off the school year right and JOIN US for the Student Org Leadership Summit on Saturday, September 22nd from 11am-4pm! This event is our "new and improved" version of Healthy Org Check Up! After last February's event you all gave a lot of valuable feedback and we listened! We've re-branded this event, moved it back to fall and are giving you opportunities to network with other student org leaders and learn from each other! We're also keeping many of the things you loved such as a variety of breakout sessions to choose from, a keynote speaker, and of course, lunch! :)
To maintain your status as a recognized student organization, all student orgs are required to send at least one (1) executive board member to this event, although more members are welcome!
What do you need to do?
- REGISTER at least one person from your organization to attend on OrgSync no later than Friday, September 14th. Visit the registration event page at https://orgsync.com/11321/events/392171
- Attend the Summit and have a GREAT time meeting other org leaders!
Below is an outline of the day's event.

04-26-2012: Get in Gear for Next Year!
Get in Gear for Next Year!
The semester is winding down (hard to believe I know!) and many of you are wrapping up and planning for next year. Here are a few things that OrgSync can assist you with as you close out your year!
1. Sign up for Backyard Bash! Don’t miss the opportunity to sign up for one of the most powerful recruitment tools this fall. Backyard Bash will be Tuesday, September 4th from 5-7pm. If your organization would like to sign up to host a table, be sure to complete the form online at https://orgsync.com/11321/forms/49030/show. Note: you MUST log in to OrgSync to complete the form.
2. Update your Exec Board! Did you change officers? Make sure you have them noted correctly in OrgSync! Having an updated roster will ensure that you receive all the important updates and notices from SSA and the Involvement Center.
3. Throw away those binders! OrgSync gives you unlimited file storage within your portal and information can so easily be lost during officer transition. So take a few moments to upload those documents so that they’re not lost for years to come (posters, power points, word documents, excel spreadsheets, meeting minutes, etc.). Keeping electronic copies of your files will help to track and build that history for your organization!
4. Say goodbye to the alumni! Create an account group for Alumni (if you don’t have one already) and move any members who are graduating into that group. (Go to Settings – Account Groups-Create Account Group. Next click on the People Tool, choose options next to their name and move them to the Alumni Group). They will appreciate not being ‘bugged’ about upcoming meetings and various communication now that they’ve left you behind and joined the “real world”!
5. Create or update your website! Summer is a great time to do this and OrgSync gives all student orgs the ability to create a website through OrgSync, for FREE! Don’t know where to start? Contact me and I can arrange for you to meet with one of our web designers to walk you through the process! Even “non-techies” will be able to do it after you get basic directions to start off with!
6. Keep in touch! Just because you’re not seeing each other at weekly meetings over the summer doesn’t mean you can’t have a conversation! Start up a discussion board in OrgSync to keep the momentum going over summer. Post questions, brainstorm ideas for fall events, or start a dialogue about topics that you’re interested in. Members can submit their comments on their own time and still contribute to the organization over the summer months.

03-22-2012: Having Trouble Logging in to OrgSync? Have your memberships disappeared?
Are you having trouble logging into OrgSync with your UW-Stout Credentials? Have you logged in but are missing your organization memberships? If so, please follow the directions below!
Login Instructions for OrgSync
1. Go to https://orgsync.com/login/university-of-wisconsin-stout
2. Click the big green button
3. You will be re-directed to a UW-Stout login page. Enter your UW-Stout login credentials (the same username and password you use for email, D2L, etc.)What happens if I login and all of my organizations are gone?
You DO NOT need to re-join your organizations! Your old account is still out there, it just needs to be merged together with your new one. You will need to manually merge your account by following the directions below.1. Log in with your new authenticated login credentials (your Stout username and password). Use the directions noted above.
2. Go to > Manage Account.
3. Click Import from Another Account
4. Enter the username and password for the account that you want to merge - the OrgSync username and password you that you used to log in with (if you have created multiple OrgSync accounts, please use the last account you logged in under)Note: This will permanently delete the account that is being merged but will pull your organization information over to your new account.
If this still does not work, then please contact Krista Proksch at prokschk@uwstout.edu or 232.1765 and she will contact OrgSync to have it fixed right away!

03-19-2012: Your OrgSync Login Credentials have NOW changed!
Greetings! We emailed you previously regarding your OrgSync login credentials and that they would be changing starting this Friday, March 23rd. However, we goofed and your OrgSync login credentials have now changed, effective immediately....We were just so excited to make the switch that we accidentally did it early :)
What does this mean for you? It means the same login you use for other campus platforms (e.g. email, D2L) will be the one you use to log in to OrgSync, effective immediately.
What do you have to do? Nothing! Starting immediately your old login information will be replaced by the university login but your portal memberships will remain.
Why you may ask? As an OrgSync user, you have previously been using a login ID and password unrelated to your university credentials and in an effort to streamline login procedures across campus platforms and reduce the amount of login combinations you are forced to remember, we have switched to authenticated logins for OrgSync.
What to do if you encounter any problems logging in? It's always possible that technology doesn't go as planned. So if you are one of the "unlucky" ones that has a problem logging, please try the following:
1. Go to the login page for OrgSync and enter the username and password for the account that you want to merge - the OrgSync username and password you used to log in (if you may have created multiple OrgSync accounts, please use the last account you logged in under)
2. Then merge your new account with your old account. Go to > Manage Account.
3. Click Import from Another Account
4. Enter the username and password for the account that you want to merge.
Note: This will permanently delete the account that is being merged but will pull your organization information.If that doesn't work, then please do not hesitate to contact me at prokschk@uwstout.edu or 232.1765. You can also contact Adam Cebulski at OrgSync directly at adam@orgsync.com.
What to do if you need your campus credentials?
If you have forgotten your password for your Stout username, please visit https://password.uwstout.edu/. Directions can be found on this page to reset your password. If you are in need of your campus username, you will need to contact Registration & Records at 715. 232-2121. Moving forward, OrgSync will not be able to provide password support as this information is not released to them. You will need to follow the instructions on https://password.uwstout.edu/ anytime you need help regarding your password.
Please do not hesitate to contact me if you have any questions or concerns about the move to authenticated logins for the OrgSync platform. I apologize for the late notice of this switch.

Hello all student orgs!
Welcome back for the spring semester! With the Memorial Student Center being back open there are LOTS of new updates and features that I want to share with you.Brand New Involvement Center
If you haven’t checked it out yet, stop by the Involvement Center to see all of the great resources and lounge space available to you: Mailboxes, Storage cabinets, meeting space, OrgSync support, forms, budget/travel support and more!
Feeling creative? Take advantage of the fully stocked Creation Station for all of your banner and poster making needs. Be sure to try out the die cut machines! The supplies in the Creation Station are here for your organization to use, but please be respectful and remember to put things back where you found them so that other individuals can enjoy them as well.Mailboxes
You’ve got mail! Every recognized student organization has a mailbox, so please be sure to stop in frequently to check it.Storage Cabinets

Student orgs can advertise their events or programs for 10 days on the TV’s in the MSC. We hope you are enjoying the beautiful nine (9) new meeting rooms in the MSC! Please continue to work with the Reservations Office to make your reservations. Please note the following:- Orgs CANNOT tape anything to the walls, windows or doors.
- Windows must be left visible at all times so that building managers can ensure the safety of everyone in the room
- Those organizations that do use tape may lose reservation privileges and may encounter fines for custodial time to clean.
Lastly and most importantly…
If you haven’t heard yet, Healthy Org Check Up is Sunday, February 26th. One member from each organization is REQUIRED to attend, although two are welcomed. Lunch will be provided this year and we have an exciting and talented keynote speaker joining us. Please talk with your fellow members to decide who will be attending and register ASAP! 01-24-2012: Reserve Storage Space in the Involvement Center!
The Involvement Center in the newly renovated MSC has locked storage cabinets available for student organization use! The policy to reserve a cabinet is First Come First Serve! Please complete the form below to make your request!

Each storage space can accommodate two 10 gallon clear totes for your supplies (totes are provided). Extra large storage cabinets are also available. If there more requests than we have cabinets, we may assign two organizations to a cabinet (1 tote each) depending on the amount of supplies an org has.

12-16-2011: Make your reservations now for events in the MSC!
Hello everyone –
We’re excited to say we will now begin accepting requests for event reservations in the Memorial Student Center! The MSC is YOUR building and we want to give student organizations the first shot at reserving space for your spring semester events! Please email Doris Strehlau at strehlaud@uwstout.edu to make your reservation. Please note that any events you’d like to host in the Great Hall or Ballrooms cannot be booked until February 1st. All other spaces are available to be reserved for your events starting today.
Please supply the following information in the email.
1. Contact name and phone number
2. Advisor's name and contact information
3. Email address
4. Recognized organization name
5. Exact date(s) of your event
6. Exact times of your event: i.e. 6:00pm to 7:00pm
7. Setup type: i. e. open square. List all possibilities (attach a demo sheet showing the
diagrams)
8. Number of attendees: this will help determine which room you will be assigned
9. Equipment requested: new renovated rooms have a builtāin Projector, Screen & Audio (be

12-02-2011: Blanket Reservations for Spring Semester!
Student org representatives:
Thank you for your patience with the Memorial Student Center blanket reservation process, (i.e.: weekly meetings).
We are allowing all student organizations to be the first to reserve rooms for the new MSC and would appreciate if only one representative from your organization submit your meeting request for Spring 2012.Blanket requests can be submitted to strehlaud@uwstout.edu starting at 7:00am, during the week of 12-5-11.
These requests will be confirmed on a first come, first served basis only.
Any requests submitted before 7:00 am 12-5-11 or incomplete requests will be returned and need to be resubmitted.
All requests will be reviewed and a confirmation will be sent by January 12th.

11-17-2011: All Student Organization Reminders!
To All Organizations,
Well, it must be a full moon or something, so I thought it would be good if I sent out a few reminders:
1) PLEASE check your allocated budget posted on your organization's OrgSync portal under files to MAKE SURE you are funded for what you are planning to spend money on. If you are not funded, you will not be reimbursed or allowed to use the funds in any other way other than what has been allocated by SSA.
2) Contracts: if you are bringing a speaker, performer, entertainer, etc on campus, YOU must meet with Emily Asher and have a contract completed PRIOR to them coming to campus. NO EXCEPTIONS!
3) Vehicle Rentals - You must meet with me and bring me the proper documentation (Travel Authorization, Itinerary, purchase request and also be Driver Authorized-Approved through Safety and Risk Management) and I will reserve the vehicle(s) for you.
4) Printing - All printing either needs to be done on campus or signed off in the printing office that you have permission to print off-campus. If you don't have permission to go off campus, it's not reimbursable.
Remember, you can access all of the forms and instructions for Travel, Purchasing, etc from the Involvement & Leadership Website: http://www.uwstout.edu/getinvolved/purchasing.cfm. 09-08-2011: Memorial Student Center's Event Services: Taking Applications
If you are looking for a job this coming school year and love working with lighting and sound, please take a moment to fill out a job application for the Memorial Student Center's Event Services. Event Services is a group of student technicians responsible for providing A/V support for events on campus. There are currently four to five positions open this fall.
If you like running sound, operating lighting systems, configuring video setups, or interested in A/V, this is a perfect job for you.

Welcome Back!! I hope everyone had a GREAT Summer! It will be WONDERFUL to have students back on campus!!
If your organization received SSA Funding for the 2011-12 School Year, it has been uploaded to the Organization's Files. Please refer to this throughout the year as you utilize your funds. REMINDER - no funds will be released until a representative (preferably the Treasurer) attends the "Attend To Spend" Training. There will be 2 sessions: Monday, September 12, 2011 and Tuesday, September 13, 2011. Both sessions will be from 6-7:30 PM in 208 Heritage Hall. YOU MUST PRE-REGISTER for these with the Registration Form under Events and Event Forms. ATTENDANCE is MANDATORY!

If your Organization was approved for a Contingency Allocation, it us uploaded to the Organization's page on OrgSync, under files and 2010-11 Budget!~ If this is the first time your Organization has received funding, if there is a new treasurer or for any questions regarding Spending Your $, please review the following Power Point:

11-03-2010: MOVING INFORMATION!!
All Organizations... WE ARE MOVING ON NOVEMBER 9th! Yes, that's NEXT WEEK! So, there are basically 3 days to get prepared. Everything will be Stored (in Semi Trailers or Tainter for Fragile or temperature sensitive items), Moved, or Surplused. Becky at the SOC desk has tubs and or totes for your use. Please see her if you need one. There are also labels there or in my office, 146 MSC. Labels need to be placed on everything. Labels are Storage Trailer, Tainter Storage-Fragile, Tainter Storage- Temperature Sensitive, Surplus Sale or marked for your move location. EVERYTHING left in the MSC will become property of the Contractors when they take possession of the building. PLEASE go through your things immediately and let me know if you have questions with anything. Also, if you are going to be sending things to Archives, there are specific rules that need to be followed and we have someone available here to help you. 07-21-2010: 2010-11 Organization Allocations Posted!
Student Organizations Allocations for 2010-11 have been uploaded to the organization's OrgSync files, respectively. If your organization received funding, you will be able to view this by going to your org page, then Media, then Files.
Be sure that this is checked and that your Organization starts early to utilize their funds in the categories they were funded for. Any and ALL submissions/purchases/travel, etc. must be in the areas which you received funding. Any deviation from that file willl need PRIOR SSA WRITTEN approval for the funds to be released!

04-23-2010: Colorful China 2010 - Wed., April 28th
A dance and cultural program featuring 26 performers from China will begin at 8 p.m., Wednesday, April 28, at the University of Wisconsin-Stout.
“Colorful China” will be presented by the Academy of Dance at Minzu University of China and the China Ethnic Singing and Dance Troupe in the Great Hall of the Memorial Student Center.
Admission is free, and the event is open to the public.

The Org of the Month for the month of March has been chosen and the winner is Blue Devil Productions. As for the month of March, BDP held numerous Thursday night shows that provide an alternative for students such as an open mic night at Acoustic Cafe. Furthermore, BDP hosted movies and comedians on various days through out the month of March.

At this time Org. Renewals are beginning. In order to move on to your homepage, you will need to complete the Organization Renewal Form. Please follow the steps given and submit all information.
Just a reminder that all the members of your Organization will need to be members on Org Sync in order to be recognized next fall. Be sure that the Xcel Spread sheet you upload matches the members in your organizations and on your Org Sync portal.
I am sorry if this seems stressful, it will be a quick and easy process in years to come, but right now this is the best way to infiltrate this GREAT new system!
